Building a Scalable Project Management System in Asana

With 22 active contracts and over 55 sub-projects, project details were scattered across emails, spreadsheets, and siloed systems. Teams lacked clarity on deadlines and deliverables, and leadership had limited visibility into project health.

My Role

  • Completed a formal Asana workflow management course to implement best practices

  • Led a full Asana rollout, consolidating all projects into one organized system

  • Created standardized templates, naming conventions, and intake forms

  • Built dashboard views for leadership to track contract timelines and progress at a glance

  • Designed custom team views to streamline task management and prioritize day-to-day work

  • Trained staff and provided ongoing support to ensure strong system adoption

Results

  • Centralized 22 contracts and 55+ sub-projects in Asana

  • Achieved 85% team adoption within two months

  • Improved cross-team coordination, task clarity, and accountability

  • Gave leadership real-time visibility into project status, helping drive timely decisions
